GEEJ Policy on Generative AI Use
The Getsempena English Education Journal (GEEJ) acknowledges that Artificial Intelligence (AI) tools such as ChatGPT and similar programs, may be useful in certain aspects of scholarly work. However, their use in manuscript preparation is not encouraged and must be approached with caution and full transparency.
Authors who choose to incorporate AI-generated content must adhere to the guidelines outlined by the Committee on Publication Ethics’ guidelines. According to COPE:
“Authors who use AI tools in the writing of a manuscript, production of images or graphical elements of the paper, or in the collection and analysis of data, must be transparent in disclosing in the Materials and Methods (or similar section) of the paper how the AI tool was used and which tool was used. Authors are fully responsible for the content of their manuscript, even those parts produced by an AI tool, and are thus liable for any breach of publication ethics.”

Prohibited Uses
Prohibited uses of AI tools may include:
- Generating any section of the manuscript (e.g., abstract, literature review, results).
- Reporting statistics or research findings produced via AI tools.
- Including AI-generated images or visual content.
Permissible Uses
Permissible applications of AI tools may include:
- Generating research prompts or conceptual frameworks
- Designing instruments or code for data collection
- Analyzing data or modeling simulations
- Creating synthetic datasets (for simulations only)
All uses of AI must be clearly documented in the manuscript, specifying:
- The purpose for which the AI tool was used
- The name and version of the tool
- Relevant prompts, queries, or configurations, where applicable
Documentation and Transparency
AI-generated content is often non-replicable, as the same input may yield different outputs across sessions. To ensure transparency and scholarly rigor, authors must:
- Save and date all AI-generated outputs used in the study
- Describe how the outputs were utilized in the research process
- Include supplementary materials if necessary for replication or review
If the manuscript’s primary subject of inquiry involves AI-generated content or tools, similar levels of disclosure and documentation are required. Authors are also encouraged to re-run AI-based analyses over time to evaluate consistency and reliability. Ultimately, authors remain fully responsible for all content submitted for publication, including material generated with the assistance of AI.
